Complaints Policy

Introduction: iHypnosis™ College is dedicated to providing high-quality training services. We recognize the importance of feedback and value the opportunity to address concerns and complaints. This policy outlines the procedures for submitting and addressing complaints in a fair, transparent, and timely manner.

Scope: This policy applies to all individuals associated with iHypnosis™ College, including students, staff, contractors, and other stakeholders.

Definition of a Complaint: A complaint is defined as an expression of dissatisfaction with iHypnosis™ College or its services, where a response or resolution is expected.

Submission of Complaints:

  1. Informal Resolution:
    • Individuals are encouraged to resolve issues informally whenever possible, by discussing concerns with the relevant staff or supervisor.
  2. Formal Complaint:
    • If the issue remains unresolved, a formal complaint can be submitted in writing to Jakub Tencl, PhD.
    • The complaint should include a clear description of the issue, relevant dates, and any supporting documentation.

Complaints Handling Process:

  1. Receipt of Complaint:
    • iHypnosis™ College will acknowledge receipt of the complaint within 14 days and provide an estimated timeframe for resolution.
  2. Investigation:
    • The Complaints Officer or an appointed representative will conduct a thorough investigation into the complaint.
    • Confidentiality will be maintained throughout the process.
  3. Resolution:
    • iHypnosis™ College is committed to resolving complaints in a fair and timely manner.
    • The resolution may involve corrective action, explanation, or other appropriate measures.
  4. Communication:
    • The complainant will be kept informed of the progress and the outcome of the investigation.
    • If the resolution is not completed within the initially estimated timeframe, the complainant will be informed of the delay and provided with a new estimated resolution date.

Appeals: If the complainant is not satisfied with the resolution, they may have the option to appeal the decision following the iHypnosis™ College Appeals Policy.

Records: All complaints and their resolutions will be documented and retained for a specified period in accordance with iHypnosis™ College’s record-keeping policies.

Anonymous Complaints: While iHypnosis™ College encourages individuals to identify themselves when filing a complaint, anonymous complaints will be considered and investigated to the extent possible.

Continuous Improvement: iHypnosis™ College will use information gathered from complaints to identify opportunities for improvement and to enhance the quality of our services.
